PRIVACY POLICY

Who we are: [JAM Consults LLC] (“JAM Consults”, “we”, “us”). Board Member Society (“BMS”) is a JAM Consults program and brand.

1) Scope

This Privacy Policy explains how we collect, use, and protect information on jamconsults.org and related pages (including Ask a CAM and BMS). It covers all visitors, newsletter subscribers, and people who submit questions to Ask a CAM.

2) Our promise

  • We do not sell your personal information.

  • We do not share your personal information with third parties for their marketing.

  • We keep information in-house and use it only to run BMS, provide services you request, improve the site, and communicate with you (with your consent).

  • We publish Ask a CAM Q&As anonymously (role + county only) unless you choose otherwise.

3) What we collect

  • Contact data: email address, name (optional), association name (optional), role, county, association type.

  • Question content (Ask a CAM): the text you submit and any attachments.

  • Marketing preferences: your newsletter opt-in/opt-out and consent timestamps.

  • Technical data: IP address, device/browser data, and basic analytics (e.g., pages viewed, referrers).

  • Vendor/Sponsor queries: company info and contact details if you request sponsorship information.

4) How we use information

  • To operate BMS and Ask a CAM, route and answer questions, and publish anonymized content.

  • To send newsletter emails and updates (only if you double opt-in).

  • To improve the site, prevent spam/fraud (e.g., CAPTCHA), and maintain security.

  • To comply with law, enforce our Terms, and protect rights, safety, and property.

5) Anonymity in publishing (Ask a CAM)

By default, we publish Q&As with role + county only (e.g., “Condo Treasurer, Broward County”). Internally, we retain your name and contact info so we can follow up, verify consent, and notify you when your answer is live. You can optionally allow us to show your role + county; we never publish your name or email.

6) No selling or sharing; limited service providers

We do not sell, rent, or share your personal information for third-party advertising or cross-context behavioral advertising. We use trusted service providers only to operate our platforms, and they may process data on our behalf under contract:

  • Website/hosting & analytics: Squarespace (site + search).

  • Forms: Jotform (Ask a CAM intake; captures IP to prevent abuse).

  • Email/ESP: Mailchimp (double opt-in newsletter, journeys).

  • Data/ops: Airtable (Answer Queue).

  • Automation (optional): Zapier/Make (to pass your submissions you asked us to process).
    These providers are not permitted to use your data for their own marketing. We may disclose information if required by law or to protect rights, safety, or property.

7) Cookies & similar tech

We use necessary and functional cookies and limited analytics. You can control cookies through your browser settings. Blocking some cookies may impact site features (e.g., search, forms, or session saving).

8) Email choices (double opt-in and unsubscribe)

  • Newsletter sign-up requires explicit consent and double opt-in.

  • Every email includes a one-click unsubscribe link.

  • If you unsubscribe, we stop marketing emails but may still send service messages (e.g., “your answer is live”).

9) Data retention

  • Ask a CAM submissions: kept while needed for moderation, publishing, and operations.

  • Newsletter data: kept while subscribed; removed or archived when you unsubscribe.

  • We keep minimal logs for security and compliance. You can request deletion—see Section 12.

10) Security

We use reasonable administrative, technical, and physical safeguards (least-access permissions, account security, CAPTCHA, encryption in transit where supported). No system is 100% secure; please submit only what is necessary.

11) Children

BMS and Ask a CAM are for adults involved in community association governance. We don’t knowingly collect data from children under 16.

12) Your rights & requests

You can:

  • Access/Update your contact info.

  • Unsubscribe from emails at any time.

  • Request deletion of your personal info (subject to legal obligations).

13) International users

Our services are intended for Florida, USA. If you visit from outside the U.S., you consent to processing in the U.S., where laws may be different from your region.

14) Changes

We’ll post updates here and adjust the “Effective date.” Material changes will be highlighted for at least 30 days.
